We are seeking a highly organized and proactive Executive Assistant to support our executive team and help drive our mission forward.


Role Overview:

As an Executive Assistant at 2ambale, you will be responsible for providing comprehensive administrative support to our executive team. Your role will involve managing schedules, coordinating meetings, handling communications, assisting with business analytical reporting, planning, compliance, process development, and operations monitoring and evaluation.


Key Responsibilities:

Administrative Support:

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and organize documents, reports, and presentations for executive meetings.
  • Handle confidential information with discretion and professionalism.


Meeting Coordination:

  • Schedule and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure all necessary materials and resources are available for meetings and events.


Communication Management:

  • Serve as the primary point of contact between the executive team and internal/external stakeholders.
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Draft and edit correspondence, reports, and other documents as needed.


Project Assistance:

  • Assist with the planning and execution of special projects and initiatives.
  • Conduct research and gather information to support executive decision-making.
  • Collaborate with other team members to ensure projects are completed on time and within scope.


Business Analytical Reporting:

  • Prepare and analyze business reports to provide insights and support strategic planning.
  • Track key performance indicators (KPIs) and prepare regular reports for the executive team.
  • Assist in the development and maintenance of dashboards and other reporting tools.


Planning and Compliance:

  • Assist in the development and implementation of business plans and strategies.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Support the executive team in monitoring and managing compliance-related activities.


Process Development:

  • Identify opportunities for process improvement and assist in the development and implementation of new processes.
  • Document and maintain standard operating procedures (SOPs) to ensure efficiency and consistency.


Operations Monitoring and Evaluation:

  • Monitor and evaluate the effectiveness of business operations and initiatives.
  • Collect and analyze data to assess performance and identify areas for improvement.
  • Prepare reports and presentations to communicate findings and recommendations to the executive team.


Qualifications:

  • Bachelor’s degree in Business Administration, Communications, Quantitative Economics, Economics or a related field.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • High level of professionalism and confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Experience with business analytical reporting and familiarity with compliance requirements.
  • Knowledge of process development and operations monitoring and evaluation is a plus.
